Upgrade Information
Please read if you are upgrading from version 2.01

(New users can skip this section and go directly to the Introduction)

As always, we suggest that you make a backup copy of your logbook database before installing and running the latest release of AvLogbook.

Important: The method used to totalize forwarded landing counts has changed! Please look at the section on forwarding flight times to see if this change affects you.

Important: The 2.0 version of the Palm OS is no longer supported! You must have at least version 3.0 to use the latest release of AvLogbook.

Aviators: The PalmPilot for Aviators web page has a nice list of aviation-related PalmPilot software.

AvLogbook is a program designed for the pilot who likes to have their flying history at their fingertips, no matter where they are.

You can display the full list of log entries, sort them by several methods, filter them to only see certain types of flights (day, night, dual, PIC), and best of all - search them for a particular word in the description or notes fields.

Total flight times, landings, time-in-type etc. can also be displayed at the tap of a stylus.

You can enter the "carry forward" time from your existing paper logbook to allow your true flight time totals to be displayed - not just the entries you make in the AvLogbook software.

You can track the balance in your account at an FBO (block time users) or just the total costs for each flight for historical purposes. You can also hide that total if it's too painful to see!

There is a simple database of airplanes that can be maintained with descriptions and notes about each plane. If you rent, this can be an easy way to keep track of what's good and bad about each member of the FBO's fleet.


The Log Entry List Screen


This is the screen that you see when the program is started for the first time. There are three columns of information displayed for each log entry. The columns may be configured via the popup lists at the head of each column.

The numbers at the top right "8/8" indicate that we are currently viewing all of the log entries, of which there are eight. If there was a filter turned on, this field might display something like "20/135" indicating that out of 135 entries in the logbook, 20 of them met the filter criteria and are currently shown in the list.

Buttons:

New - Adds a new entry to the logbook by going to the Logbook Entry Screen.

Tot. - Displays the totals screen where the sum of the various logged times is displayed.

Sort - Brings up the sort dialog allowing the order of the entries to be controlled.

All Entries - Brings up the filter dialog allowing only certain types of log entries to be shown. This selector's text will change to "*Filtered" if a filter is currently being applied to the entry list.

Menu Items:

(Note: menu items that have fairly obvious functionality will not be listed here)

Reports | Totals - Displays the Totals screen (same as the "Tot." button).

Reports | Financial - Displays the Financial screen (money spent & account balance).

Reports | Recent Experience - Displays the VFR flight experience screen.

Reports | Currency - Displays the flight currency (BFR, medical etc.) screen.

Reports | Time In Type - Displays the Time In Type screen.

Actions | Show All - Remove the current filter and show all log entries.

Actions | Print Summary - Prints one-line summary of entries in the list.

Actions | Print Entries - Prints full entry for each entry in the list.

Actions | Print Totals - Prints total flight times.

Options | Databases - Displays the database screen (Aircraft / Passenger / Airport).


The Logbook Entry Screen


This is where each flight's data is entered.

The date selector is at the upper left. Tapping this will bring up the standard date selection dialog.

The Dur. field is equal to the sum of Day and Night OR the largest flight time value in any entry of this field, whichever is greatest.
Note that this field does not update until the log entry screen is returned to from the entry list, the Note screen or an adjacent log entry.

The left and right arrows at the bottom of the screen can be used to go to the next and previous log entries.

If the "Lock Entries" option is set in preferences, a locked icon will be displayed at the top of the screen and changes to a preexisting log entry will not be allowed. You can unlock the entry by choosing "Actions | Unlock" from the menu.

The cost for the flight can be entered (in whole numbers - no decimals) at the bottom in the "$___" field if so desired. This information can be seen in the Financial screen.

 

Time is entered in the format <hours>.<tenths>. For example, 1.3 would be one and three-tenths hours. .5 would be one-half hour or thirty minutes.

Tapping on the label to the left of a field activates one of two features that allow rapid entry of flight times.
If the field is empty, but another field contains a flight time already, that existing time will be used to automatically fill in the tapped fields value. See the Entry Preferences for more detail.
If the field already contains a value (or no other field contains a value that can be used for the auto-fill function) then the flight time chooser show at right pops up. Tapping on a flight time will enter that value in the field.

Tapping the route selector button will bring up the route dialog. This selector button contains "<route>" if there is no route set, or as much of the route as will fit if a route has been set.

The "Select an airport..." popup list shows the entries you have made in the Airport Database and allows them to be added to the route.

The three "Add" buttons and their associated popup choices let you have commonly used airport IDs ready to be added to a route with one tap of the appropriate "Add" button.

Buttons:

Local - Makes this a local route, as specified in the preferences.

Non-Local - If the route is local, truncate it to contain just the origin.

Last Destination - Enter the identifier of the destination airport of the previously entered flight. If the last flight was local or terminated at the "home" airport, this button will do nothing.

"PVD" - If a "home" airport is set in the preferences, it will be shown here for easy entry by tapping this button.

New... - Brings up a dialog to allow entering an airport ID that is not in the airport database.

I - The "Information" mode push button. If in this mode, tapping an item in the list will bring up a dialog with further information on that airport (if it is in the airport database).

D - The "Delete" mode push button. In this mode, tapping an identifier in the list will delete it from the route.

^ - The "move to top" mode push button. In this mode, tapping an identifier in the list will move it to the beginning of the route.

 

The Aircraft field can either be filled in by entering text manually, or by choosing from the popup list. This list will show the aircraft that you have entered into the Aircraft Database.

Choosing an aircraft that is in the database will also fill in the type, class and category shown in the selector button below the tail number field, or this information can be entered by tapping this selector.

If a default aircraft is set in the Preferences, it will be used as the default when this screen opens for a new entry.

The <passengers> selector lets you enter a list of passengers who were on this flight via the screen shown on the right.

As in the Route screen, you can enter a passenger one of three ways:

  • From the database via the popup list "Select..." at the top of the screen.
  • Use one of the frequent passenger Add buttons.
  • Tap the New... button to enter a passenger name not in the passenger database.

I - The "Information" mode push button. If in this mode, tapping an item in the list will bring up a dialog with further information on that passenger if they are in the passenger database.

D - The "Delete" mode push button. In this mode, tapping a name in the list will delete it from the passenger list.

^ - The "move to top" mode push button. In this mode, tapping a name in the list will move it to the top of the list.

A brief description of the flight can be entered on the text field lines in the center of the screen.

This text can be searched from a filter.

The Note button brings up a large note area where detailed descriptions of the flight can be entered if so desired.

This text can be searched from the filter screen.

The A / B push buttons at the bottom of the screen can be used to select a second set of fields to be displayed, since the limited size of the screen makes it difficult to fit all of the flight time fields that some pilots may require on one screen.

The same field may be present on both the A and B screens if desired. For example, you may always want to see the PIC time.

Menu Items:

(Note: menu items that have fairly obvious functionality will not be listed here)

Actions | Unlock - If entries are locked by default, this unlocks the current entry to allow changing it's data.

Actions | Print - Print the current entry.

Actions | Delete Entry - Delete the current entry.

Actions | Aircraft Record - If the aircraft flown for this entry is in the Aircraft Database, this will show it's information.

Actions | Configure Fields - Puts the field labels into configuration mode and allows choosing and ordering the flight time fields.

 

The "Configure Fields" menu choice will put this screen into configuration mode and allow choosing what flight times are displayed in which locations on the screen. Once in this mode (indicated by the boxes drawn around the field labels), tapping the label will bring up a dialog that allows choosing what flight time or count to display in that location.

You cannot have two of the same field on screen at the same time (i.e. PIC and PIC).


 

Hobbs & Block-Time Options


Hobbs

If the Hobbs time (or Tach time) options are selected, the entry screen changes to reduce the "remarks" text field to one line and show the Hobbs/Tach time as well as a field that can be used for (but is not limited to) recording the flight number.

When a new entry is created, if so desired (see the preferences settings) the Hobbs or Tach reading shown at the end of the flight can be entered into AvLogbook via the entry screen shown at the right.

If there is a Tach/Hobbs time stored from the last entry that was made, the difference will be calculated and a flight time will be set into the desired default fields.

There is a conversion factor that can be set in the preferences screen to control how much flight time should result from a certain amount of Tach/Hobbs time.

If an entry is created with a blank Hobbs time, and no time values are set in the various fields (PIC, SIC etc.) then when returning to this entry the Hobbs/Tach time entry screen will be presented again, allowing entry of Hobbs/Tach times and calculation of the flight time.

Note: Once Hobbs/Tach times are entered, the flight time fields will NOT be changed to reflect subsequent changes to the entered Hobbs/Tach values. Automatic setting of the flight times happens only if the flight time fields are blank when the entry screen is first shown.

 

Block Time

If the Block Time option is selected, the entry screen changes to reduce the "remarks" text field to one line and show the Block Out/In times as well as a field that can be used for (but is not limited to) recording the flight number.

When a new entry is created, if so desired (see the preferences settings) the Block In/Out times can be entered into AvLogbook via the entry screen shown at the right.

The flight time is then calculated from the diference between out and in. There is a table in the preferences screens that allows control of the conversion between minutes and tenths. The default is the formula used by some (but not all!) commercial airlines.

Check this to see that the times are being converted in accordance with your company's flight time rules!

If an entry is created with a blank block time, and no time values are set in the various fields (PIC, SIC etc.) then when returning to this entry the block time entry screen will be presented again, allowing entry of block times and calculation of the flight time.

Note: Once block times are entered, the flight time fields will NOT be changed to reflect subsequent changes to the entered block times. Automatic setting of the flight times happens only if the flight time fields are blank when the entry screen is first shown.



Filtering


Filter criteria can be applied to allow showing only the logbook entries that match to be shown in the entry list.

The different types of criteria will be "ANDed" together to determine if an entry matches. I.E. if you set a date range and a specific tail number of an aircraft, only flights in that date range which were in that aircraft will be shown.

The "Exclude Matches" checkbox inverts the filter - only log entries that DO NOT MATCH the criteria that you set will be shown.

OK - Perform the filter and return to the entry list screen.

Cancel - Don't keep any changes made to the criteria. If a filter had already been applied, this will not remove it.

Show All - This removes any filter criteria that may be in effect and displays all entries. This does not clear the criteria, and you may in the future return to the filter screen and reapply the criteria again by tapping "OK".

Clear - Clears any filter criteria that may have been set.

 

Date Filtering

There are three ways to filter by calendar time.

1) Entries for flights within the last 'n' days.
2) Flights in a specific year and/or month.
3) Flights within an exact set of start and end dates.

The screen on the right shows a filter for flights within the preceding 15 days.

This screen shows a filter for all flights in February of 2000.

The month can be set to "all" which will then show all flights in the year 2000 in this example.

You can also set the year to "all" which will then filter for all flights in February, regardless of year.

This screen shows a date range being applied. Flights on or after January 1 of the year 2000 and before or on the 31st of December 2000 will be shown.

Flight Time Filtering

Flight time can also be used a filter criteria. This screen shows a filter that will only match flights within the given date range AND that have a time entry in the "Day" field greater that zero.

In this screen, we have tightened the filter up even more by specifying that the flights must not only have been during the day, but that we also logged some POC time as well.

The connecting "AND" could also be set to an "OR" or an "AND NOT" conditional if desired.

Passenger Filtering

In the screen shown on the right, we have added a passenger name to the filter. Now, only flights that have the specified passenger listed will be shown.

Route Filtering

You can filter for entries that only contain a specific airport in their routes.

The popup list to the left on the route criteria line has these choices:

Local Only - The flight must be a local flight from the selected airport .
Begins XC Route - The airport must be the starting point for the flight.
Ends XC Route - The airport must be the ending point for the flight..
In an XC Route - The airport can be anywhere on the route.

The airport can also be the wildcard "-*-" which matches any airport. If this is set, the "Local Only" option will select all local flights (those which contain only one airport in the route). If the wildcard airport is selected, all of the three "...XC..." choices will do the same thing - filter for flights that visit or end at an airport different than the airport the flight started from.

Aircraft Filtering

You can filter based on a specific tail number, or by more general criteria such as Type, Class and category

The popup list items you select are ANDed together. The attributes such as Turb or Hi-P also get ANDed together if they are checked. If the Turb box is not chedk for example, the filter will match both Turbine and non-Turbine aircraft. If it is checked, it will only match Turbine aircraft.

Text Filtering

You can search for a word or phrase in the Notes and Remarks sections of the logbook entries. If you enter a search for "soft landing" this will find entries that contain the exact phrase "soft landing". This does NOT search for entries containing just "soft" or "landing". Nor will it find entries that contain the phrase "landing soft".

If the Case Sensitive option is checked, the word being searched for must exactly match the upper/lowercase letters in the search string.

   


Sorting

 

This dialog allows you to control the order of the entries displayed in the main list screen.

Note: There is a preferences option to use the block-out time for sorting as opposed to the local timestamp (which a professional pilot may never use or care about). This ensures that the entries sort correctly regardless of the "hidden" time-of-day.

 


Totals


This screen displays the total times for the various fields.

Note: This is the total of all entries that meet the filter criteria if a filter is in use. The field at the upper right of the screen shows how many entries are being used in the totals calculation as well as the total number of entries in the logbook.

The Filter dialog can also be accessed from the button on this screen.

Like the logbook entry screen, this screen allows you to set up an "A" page and a "B" page to show the fields that you are interested in.

The screen at the right shows Both the carry-forward added to the entries in this logbook software.

Tapping the field label (i.e. "Hood:") will bring up a description of the field.

By selecting the This pushbutton, you can see the totals for just the entries in the logbook software.

The Fwd pushbutton allows you to enter the flight time totals you wish to carry forward from your existing (usually paper) logbook.

The "Total" field on this screen shows the amount of flight time that will be added to the "Total" field on the "Both" screen (i.e. grand total of both carried forward flight time and flight time from the entries in the palm).
This value is the sum of the "Day" and "Night" fields on the "Fwd" screen.

Landings may be entered in any of the "landing type" fields (such as Day or Night) and these will not be summed into the overall "Landing" field on the carry-forward screen. Separate landings can be entered into this field now, and the math for carrying forward is to carry forward the day/night landings, sum them and add them to the final overall landing count. Also added into this count is the overall landing count set in the carry forward screen.

1st Example:
If you had 30 day landings and 5 night landings you wanted to carry forward into AvLogbook, you would enter 30 into the field "LdgD" and 5 into the field "LdgN", and leave the overall field "Ldgs" empty. This will carry forward properly by adding 30 to the day landings, 5 to the night landings and 35 to the total landings field as shown on the totals screen "Both".

2nd Example:
You never tracked landings by day/night but have an aggregate landing count of 50 you want to carry forward. In the totals screen "Fwd" enter 50 into the "Ldgs" field and leave day and night empty. This will properly add 50 to the "Ldgs" field in the "Both" screen.
Note that if for example you enter into the "Fwd" screen 2 Day "LdgD" landings, 3 night "LdgN" landings and 10 generic "Ldgs" landings, it will result in the "Ldgs" field on the "Both" screen increasing by 15 as the carried forward landings! This is probably not what you want to have happen unless you actually have a three types of landing counts to carry forward - day, night, and "unknown".

The "Configure Fields" menu item lets you configure which flight time totals are shown in each field on the screen. Tapping the boxed label will bring up a dialog that let's you select the flight time to be shown in that field.

 


Currency

Currency is divided into two major types:

  1. Recency of experience
  2. Medical, flight review and inspections etc.

Currency

The "Currency" Screen

Up to eight time-based currency items can be tracked. On the main screen, the last date the event occurred (i.e. date of a BFR) is shown as well as the day on which the currency expires.

If the currency has expired, an exclamation point will be shown at the far right of the entry line.

If the expiration is within the warning limit, an alarm clock will be shown at the far right of the entry screen.

To configure each entry, tap that line to bring up the details screen.

 

 

 

 

 

 

 

Currency Details Screen

This screen lets you configure each currency entry. The event name can be set in the first line (limited to 11 characters).

The "Expires" line shows the date on which the currency expires as well as the approximate time remaining until that expiration.

The "Last" line shows the date the event last occurred (and allows it to be set) as well as the approximate time that has elapsed since the event last occurred.
Note: Now warning about event expiration will be given if the date of the last occurrence is not set!

The "Duration" popup list allows setting the duration of an event. The possible types of choices are:

  • Days - Item is due in the number of days chosen. For example, if "7 Days" is chosen and the item is last done on Thursday the 12th, it will show as expiring on next Thursday the 19th.
  • Anniversary - Item is due on the same date of the next year.
  • Calendar Months - Item is due at the end of the month after the chosen number of months has passed. For example, an item last done on 4/25/01 with a duration of 12 calendar months will expire on 5/1/02.

The "Warn At" field allows setting the number of days (0-255) before the item expires in which a warning will be shown. If this is set to zero, warnings will not be shown until the given item has expired.

The two checkboxes allow enabling or disabling these warnings as desired.

"Warn at program Start" - Items within the warning period will cause a warning message to be shown each time the AvLogbook program is entered from the application launcher.

"Warn at Recency Screen" - Items within the warning period will cause a warning message to be shown each time the recency of experience screen is entered.

Recency

The Recency screen shows the pilot's status under the VFR recency of experience FAR 61.57 as of May 2000.

Day VFR (D-VFR) and Night VFR (N-VFR) are shown for each different combination of Category, Class and tail wheel / non-tailwheel.

The status for each different Type of aircraft is shown also. This allows the pilot to see their currency for aircraft requiring a type rating.

Currency is determined as follows:

Day VFR - Three landings during day or night within the last 90 days in the same class and category of aircraft. If a tailwheel aircraft, these landings must have been to a full stop. Full stop landings are counted as either one per flight or all landings if that option is selected in the user preferences.

Night VFR - Three full stop landings during night within the last 90 days in the same class and category of aircraft. Full stop landings are counted as either one per flight or all landings if that option is selected in the user preferences.

Time-In-Type


This screen displays the time in type overview for each type of aircraft that has an entry in the logbook.

In the Aircraft database, you can enter the "forwarded" times for an aircraft type. This will allow this information to include flights not entered in the Palm (in the same way that forwarding works for the totals).

Tapping the line for a given type will bring up this screen, which gives details of the flight time.

 

Printing

Printing is supported via the PalmPrint or SCS Print Server applications, which must be purchased separately from Stevens Creek Software. At the time this manual was written (July 2001) the SCS Print Server was available for $19.95.
This software allows printing to a variety of serial and IR printers and is the method used by many other applications to provide printing capabilities.

The reports that can be printed from AvLogbook are accessed via menu selections in their respective screens.

Print Summary Configuration

The summary printout can be configured to set which fields are printed.

To access this screen, choose "Options | Print Setup" from the main entry list screen.

The configuration screen shows the total line width in characters (assuming a non-proportional font on the printer being used).

The "Lines" checkbox controls whether or not vertical bars "|" are draw between the columns on the printout.

 

 

 


Preferences


There are several preferences screens. You can select which one you wish to access by selecting it from the popup list at the top right corner of the screen.

General

The "Popup Lists" checkboxes let you control the content of the various Aircraft, Passenger and Airport popup lists throughout the software.

Show All Passengers - Show all passengers from the Passenger database, even the ones that don't have their "Show In Logbook" option set on.

Show All Aircraft - Show all aircraft from the Aircraft database, even the ones that don't have their "Show In Logbook" option set on.

Show All Airports - Show all airports from the Airport database, even the ones that don't have their "Show In Logbook" option set on.

Show Previous Airport IDs - If checked, this will cause all of the "Previous ID" airports to be shown in the airport popup lists. This also affects the filtering feature. If this is checked, filtering on a specific airport will NOT match the previous ID if the current ID is the one being set in the filter.
If this is not checked, filtering on the current ID will also match flights to the that airports previous ID (if any).

Hide cost totals -This will prevent the total cost from being displayed on the totals screen. For some of us, this is a number we're better off not knowing...

Indicate PAX / Crew - If enabled:

  • The Passenger select screen is titled "Passengers / Crew".
  • The passenger select screen has buttons to select PAX / Crew.
  • The entry form will show a "P:" in front of passengers and a "C:" in front of crew lists.

 

 

Entry Options

Show Zeros - If checked, time fields that are zero will show as "0.0", otherwise zero time fields are left blank.

Show Time - If checked, the time as well as the date of te flight will be shown.

Lock Entries - If checked, this will prevent existing entries from being edited without first being unlocked via a menu selection. New entries are editable when created, and locked if returned to later.
This is very handy to prevent inadvertent changes to your log entries!

Duplicate origin for "Local" - If your desired style for local flights is to have the route be, for example, "BOS-BOS", than checking this box will cause the "Local" button in the route dialog to use this format, otherwise the "BOS-LCL" format is used.

Warnings: - This controls the warnings (if any) which are given about inconsistencies in flight times when the entry screen is exited. The choices are:

None - none
Basic - Gives warnings appropriate for private pilots.
Student - In addition t basic warnings, gives a warning if the Dual and PIC times don't add up to equal the total flight duration.

Auto Fill: - This controls the behavior of the automatic field filling feature in the log entry screen. This feature allows times to be taken from existing non-zero fields and automatically set into the field whose label is tapped. There are four choices:

Disabled - The auto fill feature is disabled.
Lowest - Fill the desired field with the lowest time of any other field on the entry screen.
Highest - Fill the desired field with the highest time of any other field on the entry screen.
Difference - Fill the desired field with the difference between the highest time and the lowest time of any other field on the entry screen. For example, if you start a new log entry and have 1.8 hours as the "Day" time, then set 1.2 hours as PIC and then you tap the label for Dual, a flight time of 0.6 hours will be automatically entered in that field.

Automatically Add New: - These options being checked will result in any new passenger, aircraft or airport contained in a new log entry being added to the appropriate database.

Entry Defaults

Home Airport - If checked, the specified airport will be used as the origin in new entry routes.

Default route is local - If checked (and a home airport is being used) the route will be defaulted to a local route in new log entries.

Start Route with last destination - If checked, the destination airport entered in the previous new log entry will be used as the origin of the next new log entry. For example, if on 5/12 you fly BOS-PVD and make that log entry and then on 5/13 you add a new log entry that new entry will have PVD as the origin for the new route.
Otherwise, if a "Home Airport" is set that airport is used.

Default Aircraft - If checked, the specified aircraft will be used as the default aircraft for new log entries.

Use last aircraft for new entries - If checked, the aircraft flown in the previous new log entry will be used as the default aircraft for the next new log entry.
Otherwise, if a "Default Aircraft" is set, use the default AC.

People default as Crew - If checked, and the option to indicate if people are PAX or Crew is also enabled, this will cause the default status of a the people on a flight to be Crew instead of PAX.

User Fields

There are eight user-definable flight time or flight count fields available. This screen let's you set the label for those fields (limited to four characters). You can also set which type of value is contained in each field.

Note that changing this type AFTER an entry's total time has been calculated will not update that total time if the change (i.e from an "Other" time to a "Flight" time) effects that total.

The types are:

Other Time - A time that does not count towards flight duration or total flight time (i.e. non-flight time such as ground).
Flight Time - Time that is considered when calculating the flight duration.
Landing Count - A landing that is included when total landings are displayed in the totals screen.
Other Count - A count that is not considered as a landing (i.e. instrument holds etc.).

Currency

These options affect the recency of experience reporting.

Full Stop Day Landings - If checked, all day landings are considered to be to a full stop for purposes of calculating currency in tail wheel airplanes.
If not checked, only one day landing per log entry is counted as a full stop landing.

Full Stop Night Landings - If checked, all night landings are considered to be to a full stop for purposes of calculating night currency.
If not checked, only one night landing per log entry is counted as a full stop landing.

Entry Time

Use: - This controls which time information is displayed in the entry screen. Possible values are:

  • None - Display two lines on the remarks field, don't display hobbs/tach/block times or the flight number field.
  • Block - Display the Block Out/In times and the flight number field.
  • Hobbs - Display the hobbs time and the flight number field.
  • Tach - Display the tach time and the flight number field.

Ask: - This controls which time value is asked for when creating a new entry. Possible values are:

  • Direct - direct entry of time in hours and tenths
  • Block
  • Hobbs
  • Tach

Hobbs / Tach factor - When a duration is calculated based on Hobbs or Tach values, this allows converting that to something other than a one-for-one flight time.

Use Block Out when sorting - Normally, when sorting by date the date and flight time are used. In some cases, primarily in the commercial arena, the flights might be entered at a time that does not correspond to the order determined by using the block time. If checked, this causes block time to be used to determine sort order, ignoring the other time. The date is always used.

Automatically Add New: - If any one of these options is checked this will result in a flight time entry dialog being presented (Block, Hobbs, Tach, Flight time) when the "New" log entry button is pressed. The flight time you enter (or that is calculated based on the block/hobbs/tach values) will then be set into the selected fields.

Landing - If checked, one landing will be added by default. If unchecked, no landings will be set for new entries. The type of landing (day versus night) is determined by the type of time being added automatically (day / night).

Block Time Conversion Table

This allows setting the block time conversion table (minutes to tenths) used when entering a block time period.

Changes to this table will NOT affect existing log entries, just new ones.

Some examples based on the table shown at right:

  • 3:30 converts to 3.5
  • 2:04 converts to 2.1
  • 5:00 converts to 5.0
  • 1:55 converts to 2.0

These table range values are NOT checked for sanity - the burden is on the user to make sure the table does not have inconsistent ranges stored in it. Starting from the top of the table,
the FIRST value found that the flight time minutes are less than is used. Make sure that from top to bottom, each entry is equal to or greater than the entry above it.
I.E. 1, 5, 10, 20, 20, 20 is fine but 1, 5, 20, 10, 30 will NOT work properly.



Financial


This screen allows seeing the total cost of all flights since a certain date, and the balance remaining in a prepaid account, such as for aircraft rental at an FBO.

The Flights Since date selector allows you to specify the flights to be included in this calculation.

The Add button allows adding money to your FBO account.

The Adjust button allows you to adjust the current balance if for some reason it is not correct.

Database List Screen


There are three databases maintained by AvLogbook in addition to the main log entry database. These additional databases contain information on the aircraft, airports and passengers related to your flights.

The popup lists used throughout AvLogbook are generated based on the entries in these databases. Each item can also be set to not be shown in the popup lists even though it is entered in the database. This allows keeping the popup lists short and easy to find active aircraft etc. on while maintaining the information in the database.

The entries in this database can be created one of three ways:

  • Manual entry via the New button.
  • Automatic entry whenever a new log entry is made.
  • All of the log entries can be scanned and their airports, aircraft and passengers can be imported into the respective database via the "Import" menu choice.

 




Aircraft Database


Setting the airplanes Type, Class & Category and attributes here will allow this information to be filled in in the logbook entry screen when this airplane is selected from a popup list.

It is important to note that when an entry in the aircraft database is used to fill in a log entry, that that information (tail number, type, class, category and attributes) is copied into the log entry. This means that changing that information in the aircraft database will not cause it to be changed in the log entries that have already been created.

You can enter the "forwarded" times for an aircraft type. This will allow this information to include flights not entered in the Palm (in the same way that forwarding works for the totals).


If changing this data is desired, the menu choice Update Log Entries allows changing all of the existing log entries aircraft information to match the information in the aircraft database.

For example, if you have 30 log entries with aircraft N12345, but N12345 was not indicated to be a tail wheel aircraft, you could configure it as a tail wheel in the aircraft database and then use the Update Log Entries function to go back and add that information to all flights that were in that aircraft.

Note: This will apply ALL of the information for ALL of the aircraft in the database to ALL of the appropriate log entries!

 


 

Airport Database


The airport database allows storing information such as airport identifier, name, city, state and previous identifier.

If an airport has undergone a change of identifier, you can set the Previous ID field to the old identifier. This will allow (depending on the preferences settings) filtering for the new identifier yet also matching flights whose routes use the old identifier.

If you wish to change all of the routes that have the old identifier to the new identifier, the Update button will perform this operation. It is up to the user to decide whether or not to "fix" their old entries or not.



Passenger Database


This database allows keeping a list of passengers which will be shown in the popup lists.

 



Making a Backup of Your Logbook Data

There are four Palm databases used by AvLogbook, and these get backed up to files on your PC via the normal HotSync process.
These files can be found on a Windows PC In your backup directory, which is usually something like:
C:\Program Files\Palm\<your-user-name>\backup

AVlg_Entries.pdb

This file contains all of the logbook entries.

AVlg_Airports.pdb Airport entries. (AvLogbook version 2.x only)
AVlg_Planes.pdb Aircraft entries.
AVlg_PAX.pdb Passenger entries. (AvLogbook version 2.x only)

To make a backup copy of your logbook data before upgrading from the 1.x version of AvLogbook, take the files AVlg_Entries.pdb and AVlg_Planes.pdb and copy or move them to a different directory or a zip file etc.



How Do I...

Get all the aircraft I've ever flown in to show up in the popup lists?

1) Import all aircraft into the aircraft database by going to the airport database screen and selecting "Import Entries" from the menu.
2) See that the "Show in logbook lists" checkbox is selected for all aircraft OR use the General preferences option "Show all aircraft" to override the individual checkboxes.

Show my flight time for 1999?

Go to the filter screen, tap, "Clear" to ensure no other criteria are being applied, and then select "Mo / Year" from the date popup list in the upper left of the screen. Set the month selector to "-M-" (any month) and the year selector to the desired year.

Show my flight time for a specific month of 1999?

Go to the filter screen, tap, "Clear" to ensure no other criteria are being applied, and then select "MO / Year" from the date popup list in the upper left of the screen. Set the month selector to the desired month and the year selector to the desired year.

Show my flight time for April of every year?

Go to the filter screen, tap, "Clear" to ensure no other criteria are being applied, and then select "MO / Year" from the date popup list in the upper left of the screen. Set the month selector to the desired month and the year selector to "-Y-" (Any Year). Tap "OK".

Find flights where Fred and I flew to a specific airport?

Go to the filter screen, tap, "Clear" to ensure no other criteria are being applied. Select Fred by using the passenger popup list. Select "Ends XC Route" (or "Local Only" etc. as appropriate) and then select the airport ID from the ID list. Tap "OK".

Delete an entry?

From the main screen for the entry you want to delete, use the menu item "Actions | Delete Entry" to delete that specific entry.

There is no way to delete multiple entries at once, since this is something that pilots are quite unlikely to need to do!



Frequently Asked Questions

Which file on the PC has my logbook entries in it?

This file is named "AVlg_Entries.pdb".

Can I get my entry information out of AvLogbook somehow?

You can download a utility from our website (www.sgsw.com) that will allow converting the PDB file that is stored o your PC when you HotSync to a standard CSV format file.

Why aren't there any passengers / aircraft / airports on any of the popup lists?

These lists are filled from the three subsidiary databases maintained by AvLogbook - aircraft, airports and passengers. If there are no entries on the popup lists, these databases are empty or the entries in them all have the "Shown in logbook lists" option turned off.

To add entries, go to the database screen and either enter items manually or import them from logbook entries via the "Import Aircraft" (or airport / passenger) menu choices.

Why aren't all the passengers / aircraft / airports on the popup lists?

Only those passengers, aircraft or airports that are in their respective databases AND have the "Show in logbook lists" option checked will be seen.

How many entries will my Palm hold?

This of course depends on the amount of memory available in your Palm device.
Each entry is about 175 bytes on average. (May be slightly smaller or larger depending on how many remarks and notes each entry has).

This should let you store roughly 5,700 entries in 1 Megabyte of memory.

A Palm with 8 megabytes of memory that is only used for your logbook (no other programs or data) would hold about 32,000 flights, which is the limit on the number of entries that AvLogbook can hold.

As mentioned above, there is an absolute limit of 32,000 entries that cannot be exceeded even with an 8 Meg Palm and small remarks / notes.



Importing and Exporting Data

All logbook entries can be exported into a standard CSV file by a utility written in Java. This utility will run on Win95/98/2000 platforms as well as on most platforms which support Java.

A CSV file in this format can also be converted into a .PDB file to allow importing existing logbook data.
