Immediately Applying the Credit

After saving the credit you may apply the credit immediately by double clicking the Apply to Invoice Number field. You will see a list of OPEN invoices for this vendor. If all invoices have already been paid you will not be able to apply the credit but it will be saved for future application.

If the invoice is still Open (unpaid) the boxes showing the balance remaining on the invoice, the Accounts Payable Account Number and Purchase Account Numbers originally used to record this invoice will be automatically completed. Applying a credit causes the balance of the Accounts Payable Account and Purchase Account(s) originally charged to be reduced by the amount of the credit applied. You may change any of these account numbers.

Enter the amount of the credit to apply against this invoice in the Amount to Apply box. Next, enter the amount of the application in up to four Purchase GL Acct boxes. (Usually you will simply leave the Purchase Account Number as it was on the original invoice and enter the amount in that box's amount field.) The total amounts from the Purchase amounts must equal the Amount to Apply. Click the Apply button to record the application.

Note that both the remaining balance of the credit left to apply, and the remaining balance due on the invoice are automatically reduced.

If there is a balance of the credit remaining you may continue applying it by clicking the Vendor Invoice field and selecting another invoice. Or, you may close the credit application window and the unapplied amount of the credit will be saved for future application.
